Triggered by: a hire decision. You send the invite manually from this page once you're ready to bring someone on. There is no self-registration anywhere - everyone arrives through an invite.
What they receive: an email from no-reply@contencity.com. Subject reads "You're invited to join PLM." The body explains the role, the department, who they report to (if set), the documents they'll need, and a personal note from you if you wrote one. The email is action-only - the recipient activates by clicking the button inside the message.
What they click: the activation link lands them on /setup. They pick a password and enable MFA. MFA is required for everyone in the team table - no exceptions.
Both must be signed before they can use internal tools. The portal will block access until they're complete.
Access: role-based. Sales sees sales material, the assistant sees executive material, ops sees ops, and so on. Granular permission gating is on the roadmap - until then, team members see everything internal once activated.
Expiry: 7 days. The link goes dead after that. Resend it from the kebab menu on the invite row.
Triggered by: first payment received. The invite auto-fires the moment you mark the client's initial payment as received in the contract's Payments tab. The package, language, and brand info come straight from the signed contract. You can also send it manually from the client detail page or from this Onboarding page (useful for wire transfers or strategic early access).
Why payment, not signature: the signed contract is the legal commitment. The first payment is the operational one. We don't open the portal until money has cleared - the portal exposes the inside of our delivery pipeline.
What they receive: an email from no-reply@contencity.com. Subject reads "Welcome to PLM - your portal is ready." The email is action-only - the client activates by clicking the button inside the message. Once they're in the portal, they have a direct messaging thread with their project manager for everything else.
What they click: the activation link lands them on /setup. They pick a password. MFA is optional for clients - encouraged but not required.
Access: only their own portal. They see their signed contract, payments, live progress through the 9-stage delivery flow, approval requests when we need their sign-off, and a direct line to their project manager. They cannot see other clients, internal team operations, or the academy.
